Internship Endorsement Process and Important Notes for International Students at Shanghai Jiao Tong University

1. The student’s internship major has already been registered with the International Student Development Center.

STEP 1

International students are required to have their internship organization fill out the “Off-Campus Internship Verification Form for International Students”. The student must then submit the original form, bearing the official stamp of the organization, to their department.

STEP 2

Students should complete the electronic version of the “Off-Campus Internship Verification Form for International Students” and email it to the internship endorsement faculty advisor of their department. After departmental review, the form will be emailed to zhaodh@sjtu.edu.cn. Printing is not required. To ensure accuracy, handwritten forms will not be accepted.

STEP 3

Submit copies of the passport information page and residence permit page (students without a valid residence permit are not eligible to apply for internship endorsement)

STEP 4

After reviewing the materials submitted by the student, the department should compile the information into the “lnternship Filing Form” (please do not alter the template format), and email it to zhaodh@sjtu.edu.cn. Kindly ensure that the student’s basic information exactly matches the information on the residence permit copy, that the internship organization’s information matches the official stamp, and that the Unified Social Credit Code is consistent with that on the business license. Please ensure all information is accurate and error-free.

STEP 5

The department should submit the hard copies of the Off-Campus Internship Verification Form for International Students, along with the student’s passport copy, residence permit copy, and accommodation registration form, to Ms. Zhao Dinghui at Room 206, International Center, Donghui Garden, Minhang Campus

2. The student’s internship major has not been registered with the International Student Development Center.

TIP 1

The department should first review the student’s academic curriculum to determine whether it includes an internship credit requirement. If such a requirement exists, the department must complete the electronic version of the SJTU Academic Internship Internal Approval Form for International Students, print it out, have it signed by the department head and stamped with the department seal. Additionally, a printed copy of the curriculum, signed by the Associate Dean of Teaching and stamped with the department seal, must be submitted together. If the curriculum does not require internship credits, the student is not eligible to apply for internship endorsement.

TIP 2

For internship endorsement of exchange students, the bilateral exchange agreement must be provided (the agreement should explicitly include provisions regarding internships for exchange students), along with the business license of the internship organization and a staff list. All other conditions for residence ‘permit application must also be met’ (the duration of the residence permit for international exchange students is generally not less than three months). The internship period must not exceed the duration specified in the exchange agreement.

TIP 3

Submit the same set of personal internship documents as required for cases where the internship major has not been registered with the International Student Development Center.

3. Important Notes

1. The internship period must not exceed six months. If an extension is needed due to special circumstances, the student must submit a written application to their department before the internship ends. Upon departmental approval, the signed and stamped application should be submitted to Ms. Zhao Dinghui at the International Student Development Center. Meanwhile, the updated internship period should be revised on the electronic version of the “Internship Filing Form” and resent via email to zhaodh@sjtu.edu.cn. According to previous regulations from the Shanghai Exit-Entry Administration Bureau, other hardcopy documents do not need to be resubmitted. If new documentation is required, the International Student Development Center will promptly notify the department to provide supplementary materials.

2. The above-mentioned hardcopy internship materials must be submitted by each department to Ms. Zhao Dinghui at the International Student Development Center (Room 206, International Center, Donghui Garden, Minhang Campus) no later than 5:00 PM every Thursday. Once the hardcopy materials and the electronic filing form have been reviewed and confirmed to be accurate, the International Student Development Center will submit the information to the Shanghai Exit-Entry Administration Bureau every Friday. Submissions are reported on a weekly basis.

3. Ten Business days after the International Student Development Center submits the materials to the Shanghai Exit-Entry Administration Bureau, if no issues are reported, the department should promptly collect the feedback documents from Ms. Zhao Dinghui at the International Student Development Center. These documents include the Off-Campus Internship Verification Form for International Students, the Internship Certificate for International Students, and the Application Letter for Foreign Student Visa Issuance in Shanghai issued by the university’s Exit-Entry Service Center. As the letter issued by the Exit-Entry Service Center is valid for only 30 days, the responsible department staff should collect the documents as soon as possible.

4. It generally takes about one month to complete the entire internship endorsement process. Departments must remind students to allow sufficient time for processing before the internship begins, in order to avoid delays in the internship arrangement.
