Alumni Centre – Functions & Booking Guidelines

Dear Alumni,

The Alumni Centre at the Xuhui Campus, formerly the Sheng Family Residence, was officially opened on April 8, 2017. It warmly welcomes you with services such as alumni reception and inquiries, alumni card processing, and support for small-scale alumni donation.

The first floor features an event room and a cozy café, ideal for casual gatherings among small groups of alumni. The second floor can host alumni events of up to 30 people. To better facilitate class reunions and activities while managing the scheduling efficiently, please follow these steps to make a reservation via the “My SJTU” app:

Go to 【Alumni】➨【Alumni Centre Meeting Room Reservation】➨【Reservation】➨ Choose your meeting room ➨ Select starting time ➨ Scroll down and click 【Reserve】 ➨ Fill in the required information ➨ Submit the reservation application ➨ Reviewed by your department’s alumni coordinator ➨ Final approval by the Alumni Association Office. (Note: The café area does not require a reservation.)

Management Guidelines

1.All activities reserved by alumni or faculty/staff member must comply with national laws and regulations and should promote interaction and mutual support among alumni or the university community. Activities with political or commercial intent are not permitted. Non-alumni may not book or use the venue.

2.Applicants must carefully read the Meeting Room Guidelines on the “My SJTU” app and accurately describe the activity in the remarks section. If the actual event differs from the submitted description, the applicant may be disqualified from future reservations.

3.Alumni bookings will be reviewed by the corresponding department’s alumni coordinator.

4.Outside food is not allowed. If tea break services are needed, please inform the Alumni Centre property staff in advance for setup assistance: 021–62933535.

Q&A

1. How do I reserve a meeting room at the Alumni Centre?

You can log in to the “My SJTU” app using your jAccount and apply for a reservation through the system.

2. What amenities are provided in the meeting rooms?

The Alumni Centre offers free access to sound systems, microphones, projectors, and bottled water. Please select the items you need during the reservation process. Freshly brewed coffee, tea, juice, and cakes can be purchased on-site. For tea break service, call 62933535 in advance.

3. Is there a rental fee for the meeting rooms?

Meeting rooms at the Alumni Centre are free of charge for alumni and SJTU faculty/staff member. Therefore, use is strictly limited to alumni-related or internal university events.

4. How many people can a meeting room accommodate?

Each meeting room is suitable for 8–30 participants. The main table setup consists of four rectangular tables combined, with seating for up to 18 people around the table.

5. Why does the system show the room is available, but I get a pop-up saying it's already booked?

If a pop-up indicates the time slot is already occupied, it means the room has been reserved and is currently under review. The slot is temporarily unavailable. Please select another time.
